1. Overview
Onyx Array LLC ("we," "us," "our") is committed to handling information responsibly across all of our business activities: done-for-you automation consulting services, digital product sales, and software-as-a-service (SaaS) products. This Privacy Policy explains what information we collect, how we use it, and your rights in relation to it.
Our services are primarily business-to-business (B2B). Where we handle personal data, we do so only to the extent necessary to deliver the services or products you have purchased or enquired about.
2. Information We Collect
Consulting and Service Clients. When you engage us for automation consulting services, we collect your name, business name, email address, and phone number. We also collect information about your existing business processes and systems to the extent required to design and build your automation system. In the course of operating your lead-to-call system, we may have access to data about your prospects and customers, including names, contact details, and appointment records. This data belongs to you; we access it only to deliver the agreed services.
Digital Product Purchasers. When you purchase a digital product (such as a template, dashboard, or guide), we collect your name, email address, and payment information. Payment details are processed by our third-party payment processor (Stripe) and are not stored on our systems. We retain your email address to deliver your purchase and to send order confirmations.
SaaS Subscribers. When you create an account for a SaaS product, we collect your name, email address, business name, and billing information. We also collect usage data including feature interactions, login activity, and session information to operate, maintain, and improve the product. Any data you store within a SaaS product (such as contacts, records, or configurations) belongs to you.
Website Visitors. Our website does not require registration. If you submit information through a contact form or booking tool, we use it solely to respond to your enquiry or schedule a call.
3. How We Use Information
We use the information we collect to: deliver the services, products, or software you have purchased; communicate with you about your order, account, or project; process payments and issue invoices; provide customer support; improve our products and services; and comply with legal obligations.
We do not sell, rent, or share your personal information or your customers' data with third parties for their own marketing or commercial purposes.
4. Third-Party Services
We use carefully selected third-party providers to operate our business. These may include:
Payment Processing. We use Stripe to process payments. Stripe collects and processes payment card data directly. Their privacy policy is available at stripe.com/privacy.
Email and Automation Tools. We use email service providers and automation platforms to deliver transactional emails, order confirmations, and service communications. For consulting clients, we also configure third-party CRM and automation tools on your behalf as part of your system build.
Scheduling Software. We use Cal.com for appointment scheduling. Information submitted when booking a discovery call is governed by Cal.com's privacy policy in addition to our own.
Analytics. We may use privacy-respecting analytics tools to understand how visitors interact with our website. These tools do not collect personally identifiable information for advertising purposes.
Cloud Hosting and Infrastructure. Our website and any SaaS products are hosted on reputable cloud infrastructure providers that maintain appropriate security standards.
Each third-party provider operates under its own terms and privacy policy. We select providers that maintain reasonable data protection standards.
5. Data Security
We take reasonable technical and organisational measures to protect information from unauthorised access, disclosure, alteration, or destruction. Access to client account credentials and sensitive data is restricted to personnel directly involved in delivering your services or maintaining our products.
No method of electronic transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.
6. Data Retention
Consulting Clients. We retain your business information for the duration of the engagement and for a reasonable period thereafter for legal and accounting purposes.
Digital Product Purchasers. We retain purchase records including your name and email for accounting and support purposes. You may request removal from our email list at any time.
SaaS Subscribers. Account data is retained for the duration of your subscription. Following cancellation or expiration, we retain your data for 30 days to allow for reactivation or data export, after which it may be permanently deleted.
Upon written request, we will confirm deletion of personal data we hold that is not required by applicable law to be retained.
7. Cookies and Analytics
Our website uses minimal, functional cookies required for normal site operation. We do not use tracking or advertising cookies. No personally identifiable information is collected through cookies on our website. You may disable cookies in your browser settings without affecting your ability to view the site.
SaaS products may use session cookies and similar technologies necessary for authentication and product functionality. These are not used for advertising.
8. Your Rights
You have the right to request access to, correction of, or deletion of personal information we hold about you. You may also request that we restrict processing of your data, or object to processing in certain circumstances. To make any such request, contact us at support@onyxarray.com. We will acknowledge your request promptly and respond within 30 days.
9. Children's Privacy
Our services and products are intended for business use by adults. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected such information, please contact us and we will promptly delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, products, or applicable law. We will notify active clients and subscribers of material changes via email. The "Last Updated" date at the top of this page reflects the most recent revision. Continued use of our services or products following notice of changes constitutes acceptance of the updated Policy.
